A Day in the Life of a Virtual Assistant: Balancing Social Media, Emails, and More

Two pictures of Tania. One is a selfie taken with red hair, and the other is a mirror selfie while wearing a red dress with blonde hair.

Ever wondered what a Virtual Assistant (VA) does all day? You might imagine us sipping endless beverages, while juggling spreadsheets and social media accounts - and you wouldn’t be entirely wrong. But there’s so much more to it! If you’ve been thinking about hiring a VA (like me!), here’s a behind-the-scenes look at my typical day. Spoiler: it’s busy, but I wouldn’t have it any other way.

Morning Routine: Setting the Tone

My day kicks off with breakfast, and yes, I’m usually multitasking. While I munch, I play a fake online casino game I’ve been obsessed with since 2015. It’s a little ritual that started during lockdown and has stuck - it’s oddly therapeutic!

After that, it’s time for my skincare routine and a quick brush of the teeth. If I’ve got some extra time, I’ll head to my garage for a short workout. Lately, I’ve been all about Zumba dance routines. Not only is it fun, but it helps keep my energy levels up and manages a lingering foot injury (thanks, old job!).

Then it’s shower time, round two of skincare, and slipping into my work uniform - AKA leggings and a cosy jumper. Makeup goes on too; it helps me feel ready to tackle whatever the day throws at me. By 9 am, I’m at my desk, raring to go.

The Work Begins: Emails and Priorities

The first order of business is my inbox. I’ve got both personal and client emails to sort through. Urgent ones get immediate attention, while the rest are neatly organised for later. (Side note: if your inbox is a disaster, I can help with that!)

Once emails are under control, I dive into client tasks. This is where the magic happens - curating social media content, brainstorming catchy captions, and creating graphics for their latest projects. Last year, I made over 1,200 graphics and reels for clients, so you could say I’ve got a knack for this sort of thing.

Lunch Break: Recharging the Batteries

By lunchtime, I’m ready for a break. I grab something to eat and settle in for an episode of Star Trek or a juicy true crime documentary. It’s my little midday escape before I jump back into work.

Afternoon Hustle: Social Media & Networking

After lunch, I shift focus to my own business. That means scheduling my social media posts, engaging with followers, and doing a bit of online networking. I also circle back to emails to catch up on anything that’s come in during the day.

Afternoons are often when I work on bigger client projects, whether it’s creating a social media calendar, writing a blog post, or preparing a newsletter. It’s all about ticking things off the to-do list and making my clients’ lives easier.

Wrapping Up: Client Check-Ins

By 4 pm, most of my client work is done, but I stay on standby until 4:30 pm to handle any last-minute requests. After that, it’s laptop closed, day done.

Evening Wind-Down

Once work is out of the way, it’s time to relax. Dinner is usually paired with whatever TV show or movie I’m into that week. It’s the perfect way to unwind and recharge for the next day.
